Refund & Cancellation Policy

This policy governs refunds and cancellations for professional services and government filings provided by Virtual Auditor Private Limited and its practicing firm V Viswanathan & Associates.

1. Government Fees

Government fees, stamp duty, filing charges, and statutory charges paid to MCA, CBDT, CBIC, RBI, IBBI, State Registrars, or any other regulatory authority on your behalf are non-refundable once submitted. These fees are paid directly to the government and are outside our control. This includes but is not limited to: SPICe+ filing fees, DSC charges, DIN fees, GST registration fees, trademark filing fees, and stamp duty.

2. Professional Fees — Before Work Commences

If you cancel an engagement before any work has commenced (i.e., before document review, filing preparation, or analysis has begun), you are entitled to a 100% refund of professional fees paid. The refund will be processed within 7-10 working days to the original payment method.

3. Professional Fees — After Work Commences

If you cancel an engagement after work has commenced: (a) a proportionate refund will be provided based on the percentage of work completed; (b) the completed portion will be calculated and communicated to you with supporting details; (c) any deliverables prepared up to the cancellation date will be shared with you; (d) the refund amount will be the total professional fee minus the fee for work completed. Example: if 40% of work is completed, 60% of the professional fee will be refunded.

4. Non-Refundable Services

The following services are non-refundable once delivered: (a) valuation reports signed and issued by the IBBI Registered Valuer; (b) certificates issued under any statutory provision (net worth certificates, turnover certificates, 15CB certificates); (c) tax returns filed with CBDT or CBIC; (d) forms filed with MCA/ROC; (e) consultation fees for completed consultations; (f) express/priority service charges.

5. Cancellation by Virtual Auditor

Virtual Auditor reserves the right to cancel an engagement if: (a) the Client fails to provide required documents within a reasonable timeframe despite reminders; (b) the Client provides false, misleading, or incomplete information; (c) continuing the engagement would require us to violate professional ethics or applicable law; (d) there is a conflict of interest discovered after engagement commencement. In such cases, fees for work completed will be retained and any balance will be refunded.

6. Refund Process

To request a refund: (a) email support@virtualauditor.in with your engagement reference number and reason for cancellation; (b) our team will review the request and respond within 3 working days; (c) approved refunds are processed within 7-10 working days; (d) refunds are made to the original payment method (bank transfer, UPI, or card).

7. Disputes

If you disagree with a refund decision, you may escalate to: (a) CA V. Viswanathan, Founder — email: ca@virtualauditor.in; (b) for unresolved disputes, the arbitration process described in our Terms & Conditions applies. All disputes are governed by Indian law with jurisdiction in Chennai.
